We Scan Closed Files onto CDs
For more than 20 years, ITG has been providing Scan-to-CD services to our realty, escrow, and mortgage broker clients throughout Southern California. Our goal is to help successful businesses reduce the cost of storing paper.

Storing the documents in electronic format:

We come to your offices and pick up the closed files. No one has to do anything to get the files ready. We will take them just as they are. Each closed file is converted into one multi-page PDF file. For real estate files, we typically use the property address as the file name. For escrow files, we use the escrow number.

After the scanning and quality control checks have been completed, the files are copied onto CDs. This creates a permanent copy of the documents and ensures that they will always be available when needed. The completed CDs are then returned to your office. We make two copies of each CD, so one can be kept in the office and one can be stored in a safe off-site location.

After scanning, the paper files can be returned to your office or they can be shredded for security. We have a certified destruction service that cross-shreds the files. We use this service not only for our real estate and escrow clients, but also for our medical and hospital clients, who have very stringent confidentiality requirements.
The cost of this service will vary a little, depending upon the amount of work that must be done to get the papers ready to scan and the total number of boxes that will be scanned. In general, the cost for scanning real estate and escrow files is about 5 cents per page, depending upon the volume. Higher volumes result in lower prices. Each CD set, which consists of one original CD plus one duplicate CD, is $25.00.

For purposes of determining how much a project will cost, we use an estimate of approximately 2,000 pages per banker’s box or per 18” of filing space. About 7 banker’s boxes, or roughly 15,000 pages, will fit on one CD. There are no long term commitments with our service. We are happy to scan as many or as few boxes as would be helpful. For most of our real estate clients, we suggest starting with the current year’s closed files and the closed files for 2008. Once that is done, a decision can be made as to whether or not to scan the 2007 or 2006 files.

5. How much paper do I have?
A standard banker’s box will hold between 1,500 and 2,000 pages
For each 12” in a file cabinet or shelf, there are about 1,000 pages
6. How much does it cost?
Most real estate, escrow, mortgage, and title scanning projects will be about 5 cents per image
This assumes that the files are reasonably clean and that the paper is in good condition
The higher the volume, the lower the cost. Discounts are available for quantities over 100 boxes
7. Is it legal?
  Storing business records in electronic format is fully compliant with the DOC and DRE regulations

8. I already have an imaging system
